WANTED: Part-Time Personal/Business Assistant for Fun and Fast Growing Online Transformational Coaching Business and Coach Training School


The Little Volcano is a rapidly growing Online Transformational Coaching Business and Coach Training School and we are seeking an experienced Business/Personal Assistant to play a vital role in developing, planning, supporting and implementing organizational projects and priorities.


We are rapidly expanding from a micro-business where the Founders of the company run almost everything to a small-team based operation with Team Members all over the world. We currently have a team of about 12 people either working for us as coaches, financial support staff, part time assistants and event planners, and project based social media and marketing people.

Position Overview

The Assistant supports the Founders and CEOs of the company: Kit and Rosie Volcano.  This is a company with quarterly online launches, live events 3-5 times a year, and multiple ongoing online training programs, as well as several evergreen programs (continuously running automated programs), groups and products that need steady managing.  No two days look alike at the Little Volcano. We want you to come from a place of service with a “no task is too small” type of mindset. Kit and Rosie are a busy couple and need someone to help them with their ever-changing schedule and needs. They are currently making a transition from Small Business owners who do EVERYTHING to a more “Big Picture” role of leadership and guidance. They need someone who can help them make sure the details are running smoothly.


You will need to be able to accomplish or delegate the following tasks easily and without much guidance or micro-managing:


  • Managing the company’s social media inboxes, social media post design, writing and scheduling for facebook and instagram. Experience with scheduling software a plus.

  • Basic editing and uploading videos between various platforms including  Facebook, Youtube, and Zoom.

  • Strong working knowledge of Google Suite, Active Campaign, and Click Funnels - or the ability to learn these quickly and efficiently on your own time.

  • Managing our schedule, working knowledge of Calendly and Google calendar

  • Creating Google form surveys

  • Answering emails from clients around logistical details

  • Fielding interview and speaking requests

  • Soliciting for podcasts and speaking gigs

  • Time Blocking for Kit and Rosie Volcano

  • Project Management and results tracking for our coaching team

  • Booking travel, reservations and appointments

  • Office assistance — printing and assembling binders and name tags, mailing gifts and packages

  • Basic designing  and ordering promotional materials like binders, notebooks, stickers, t shirts

  • Available via text for fast requests



2-3 years of business/personal assistant or project management experience. Highly detail-oriented and able to implement tasks on-time, on-schedule and with a high-degree of accuracy. In addition, the qualified candidate will need the following skills and experience:

  • Ability to effectively manage multiple projects from idea to completion

  • Ability to manage multiple projects with competing priorities on any given day, and  

  • Ensure project tasks are completed efficiently and on schedule Ability to utilize  the big-picture priorities of the organization within each projectAbility to collaborate well with teammates and partners

  • Provide compassionate and direct written and verbal communication, follow-up and follow-through, a knowledge of NVC will be helpful here!

  • Always thinks from a place of “how can we….?” versus being stuck in why something won’t work  Ability to provide innovative ideas and a positive perspective to enable a “can do” attitude.

  • Implement tools and techniques to improve efficiency and support team communication and collaboration

  • Provide support to new projects and team members as necessary

  • Understanding of sales copy and willingness to learn new techniques.


Finally, and perhaps most importantly, candidates for the position of Business/Personal Assistant will have the following personal characteristics:

We believe that we create what we speak  through our energy and attention and we always make sure to choose our language consciously when communicating with each other and our clients.

  • You are resourceful and independent: We are not concerned as much with how it gets done, but the results. If you have a creative mind and a clear goal, you should be able to show us that you can accomplish any task we assign to you with little management or direction.

  • You should exhibit self-reflective practices: The successful candidate will be self-reflective, and in the spirit of cooperation and shared responsibility, s/he will be as adept at accepting feedback as s/he is at giving it.


This is a part-time role (10+ hours/week) requiring a long-term commitment with availability Monday to Friday. Work on evenings and weekends will be required from time to time in order to meet deadlines, particularly around online launches and/or live events.


Location independent, preferred proximity to San Diego. Must be available to travel to live events. You can do this job remotely, except we need you to be present at our live events ( San Diego, Chicago, Colorado, Hawaii and international locations like Germany, Scotland, Spain) to assist with logistics and execution.
